- Form Data
The information you enter while filling a form is used to prepare the selected PDF and provide it for download. This form content is processed for PDF generation and is not intentionally stored as a completed form record after the PDF is generated. However, technical metadata, error summaries, download logs, and audit records may be retained for security, debugging, billing, abuse prevention, rollback, and legal compliance. These logs are designed to avoid storing the full filled form content wherever reasonably possible.
- Account, Login, and Profile Data
When you create or use an account, we may collect and store your name, mobile number, email address, password hash, role, profile details, father name, gender, date of birth number, address, billing details, and account status. Where identity proof is genuinely required, we may request identity-related details such as PAN number, voter ID, driving licence, masked Aadhaar, offline-verification documents, or only the last four digits of Aadhaar. We do not ordinarily require or store a full Aadhaar number. A full Aadhaar number will be collected or stored only where legally permitted, strictly necessary, and protected in accordance with applicable UIDAI and data-protection requirements. This information is used for account management, authentication, profile services, subscription access, invoicing, fraud prevention, support, and legal compliance.
- Payments, Subscriptions, and Invoices
If you purchase a plan or receive an admin-activated subscription, we may process and store transaction ID, invoice number, plan details, GST amounts, discount or coupon details, payment gateway order ID, payment ID, payment status, recovery status, refund or chargeback details, and related audit information. Card, UPI, net banking, or wallet credentials are processed by the payment gateway or banking partners and are not intended to be stored by Gujarat Forms.
- Contact, Feedback, Device, and Usage Data
When you contact us or submit feedback, we may collect your name, phone number, email address, subject, message, rating, page URL, and related support notes. We may also collect technical information such as IP address, user agent, device information, platform, session records, refresh-token session metadata, FCM notification tokens, form download history, and security logs. This helps us provide support, maintain service quality, secure accounts, detect misuse, and improve the platform.
- Information About Other Persons
If you submit personal data relating to another person, including a family member, customer, client, minor, or applicant, you confirm that you are legally authorised to provide that information and request the relevant service on that person's behalf.
We retain personal data only for as long as reasonably necessary for the purpose for which it was collected, including account access, profile services, subscription management, payment and tax records, support, security, audit logs, dispute handling, and compliance with law. Form-fill content used to generate a PDF is not intentionally retained as a completed form record after PDF generation.
As a general practice, temporary form-fill content is held only for the time required to generate the PDF and complete the download response. Generated PDF cache, account/profile records, invoices and transaction records, support tickets, security logs, audit logs, and encrypted backup copies may follow different internal retention schedules depending on operational, tax, accounting, security, and legal requirements.
Some records may need to be retained even after account closure, such as invoices, transaction records, tax records, security logs, fraud-prevention records, or information required by applicable law. Where retention is no longer required, we will delete, anonymize, or restrict access to the information in a reasonable manner.
We do not sell your personal data. We may share personal data only where necessary to operate Gujarat Forms, provide requested services, process payments, send OTP or service communications, host and secure our systems, generate invoices, respond to support requests, investigate misuse, or comply with law.
Our service providers may include hosting providers, database providers, payment gateways such as Razorpay or similar payment partners, SMS or OTP providers, email providers, analytics or monitoring tools, push-notification providers, and professional advisers.
